Process & Turnaround
A clear, predictable workflow and timelines—so you know exactly what happens after you contact us.
At-a-glance timeline
- Quote: same business day (often within hours)
- Short translations (≤3 pages): 24–72 hours
- Certified copies / notarization: +1 business day
- Transcription (≤30 min audio): 1–3 business days
- Interpreting (on-site, OPI, VRI, ASL): same-day to scheduled
Our process
1) Inquiry & quote
Send your files or details. We review language pair, purpose (IRCC/legal/academic/business), volume, formatting, and deadline, then provide a transparent estimate.
2) Scope & confirmation
We confirm deliverables (PDF/printed/notarized copies, captions/subtitles, glossary/terminology, style), price, and timeline. Rush options available.
3) Assignment
Your project is matched to a qualified professional (subject-matter expert for legal/medical/technical/marketing; certified translators where required).
4) Production
- Translation: draft → self-review → optional second-linguist QA
- Transcription: verbatim or clean-read, timestamps/speaker labels as needed
- Interpreting: scheduling and briefing; OPI/VRI quick-connect or on-site logistics
5) Quality assurance
Formatting checks, consistency review, spot QA against source, and purpose-fit (e.g., IRCC/court requirements).
6) Delivery
Digital PDF by default. Printed and notarized copies can be mailed/couriered. For captions: SRT/VTT as requested.
7) Post-delivery support
Minor adjustments and re-exports (formatting, names, dates) are included within scope. Ask if you need certified copies later.
Turnaround guide
Translation
- Personal docs (certificates, IDs, transcripts): 24–72h
- Business/legal/technical (≤1,500 words): 1–3 business days
- Larger volumes: ~2,000 words/day/translator (with scaling options)
Certified translation
Same as above; allow +1 day for printing/notarization and shipping if required.
Transcription
- ≤30 minutes audio/video: 1–3 business days
- Add time for timestamps/speaker labels or poor audio quality.
Interpreting
- OPI/VRI: same-day or scheduled; quick-connect available
- On-site / ASL: typically 1–5 business days to schedule (urgent options possible)
What affects turnaround?
- Volume & complexity (legal/medical/technical, formatting, images/tables)
- Language pair & availability
- Certification/notarization & shipping
- Audio quality (for transcription)
- Scheduling constraints (on-site/ASL)
How to speed things up
- Share final files, editable formats, and deadline upfront
- Provide context: purpose, reference docs/glossaries, style preferences
- For certified work: confirm name spellings and number of copies early
- For interpreting: send date/time, location/time-zone, languages, agenda
